Roles and Responsibilities 01
Purchase Orders, Work Orders, Letter of Intents
- Techno-commercial bid evaluation, price and terms comparison, commercial analysis.
- Analyzing the deviations in bids
- Negotiation and finalization of packages and achieving overall reduction in price with respect to the approved budget for techno commercial feasibility of the system.
- Tax Optimization
- Finalizing the major commercial terms with vendors and preparing Management Information Systems (MIS), Comparative Statements, Purchase Orders, Work Orders, Letter of Intents / Awards and Management Proposals for Approvals.
- Preparation of Purchase Orders (PO) for domestic as well as overseas works.
- Tracking and co-ordination of the concerned orders at every stage with various departments like Projects, Engineering, and Planning Department.
- Closely monitoring effective management of Orders’ Contracts.
- Cost Analysis and Claims, Budget Analysis in coordination with the Business Unit.
- Claims Settlement and Management.
- Closely monitoring Consignment Clearance from ports in coordination with Logistics Team and Custom House Agent (CHA) for timely Custom Clearance and Delivery of Material.
Roles and Responsibilities 02
Vendor Management
- Strengthening existing vendor source & developing alternate suppliers.
- Communicating Technical Specifications, negotiating with vendors, visiting vendors for evaluation.
- Monitoring vendor performance to ensure cost effective supply of quality material in time.
- Vendor development, vendor evaluation, vendor account reconciliation, resolving issues and facilitate the resolution of disputes with supplier to ensure optimum supply.
- Maintaining quality standards for all incoming material / parts placed by Procurement Team.
Coordination with Logistics
- Coordination with Procurement, Stores and Logistics team for organizing logistic from the vendors to the project sites.
- Taking confirmation from the sites for the receipt of the equipment, material etc and getting the documents for timely release of the payments as per commercial terms.

Safety Management
- Monitoring safety during Shipment / logistics of equipment/material spare to Project Sites
- Emphasis on Zero Tolerance regarding safety of material and spare parts
- Ensuring relevant Safety / Environment / Risk Aspects are taken care in the Purchase order / Request for Quotation (RFQ)

Key Objective of the Job Position
- Ensuring timely availability of requisite materials (construction raw material, spares etc.) at competitive rate.
- Helping the organization to get the most out of its purchasing power while reducing Overall Risks, maintaining, and updating of Purchase Order / Reorder Levels
Education Qualifications
Educational Essential: Bachelor’s Degree in Engineering
Educational Desirable: MBA in Supply Chain Management & Logistics
Computer Software Proficiency
MS Excel, MS Word, Power Point, SAP
Experience Range
Minimum 15 to 20 years of experience in Procurement Function with minimum 5 years’ experience as Procurement Manager in Head office of Infrastructure company.
Work Environment
Normally work in offices but spending a lot of time working with suppliers and vendors, Suppliers, and vendors on a routine basis for follow up and expediting the Purchase Order. Need to split time between working in office. May have to work for extended hours including evenings and weekends. Must also be able to work well under pressure and meet deadlines, pay great attention to details. Must deal and convince all types of stakeholders like Procurement Head, Business Unit Heads, Project Controllers, Project Managers and other internal / external stakeholders. Should be able to maintain a high level of social contact.
